Tracking workflows
Welcome to GetFocus Odin's new feature: Tracking Workflows. This guide will help you set up and utilize tracking workflows to monitor updates in technological domains and keep track of relevant new inventions. We'll start with a bullet-point summary for quick reference. For detailed instructions, please scroll down.
- Create a Tracking Workflow
- Navigate to your saved dataset in "Projects", then to "Tracking", and select "Create Tracking Workflow".
- Name your workflow and add a description.
- Configure the Trigger Node
- Choose a schedule for your workflow (daily, weekly, monthly, or yearly).
- Add Action Nodes
- Select an Action Node (LLM Agent, Get Latest Patents, or Summarize Patents).
- Customize the Action Node as needed.
- Add a Notification Node
- Choose "Send Email" to receive notifications.
- Enter recipient email addresses.
- Test Your Workflow
- Use the "Test Workflow" button to ensure it works as expected.
- Save and Activate
- Save your workflow.
- Your workflow is now scheduled and will run at the next scheduled time.
Tracking Workflows are designed to help you automate the monitoring of technological domains by scheduling and customizing repeated workflows. They enable you to stay updated on new patents, inventions, and trends within your areas of interest.
- Access Your Dataset
- Navigate to the dataset you wish to monitor. In order to do this, your dataset must first be saved to a folder in "Projects".
- Click on "Create Tracking Workflow".
- Name and Describe Your Workflow
- Name: Provide a descriptive name for your workflow to easily identify it later.
- Description: Add any additional details or notes about what the workflow does.
The Trigger Node defines when your workflow is scheduled to run.
- Add a Trigger Node
- Upon creating a new workflow, start by adding a Trigger Node.
- Set the Schedule
- Choose the frequency:
- Daily
- Weekly
- Monthly
- Yearly
- Note: Workflows run at 8:00 AM UTC on the next occurrence based on your selected frequency. For example, if you create a weekly workflow at 9:00 AM UTC, it will start the next day at 8:00 AM UTC.
Action Nodes perform specific actions within your workflow. You can chain multiple Action Nodes to build complex workflows.
- Add an Action Node
- After the Trigger Node, click "Add Action Node".
- Select an Action Node Type
- Get Latest Patents:
- Fetches all new patents added since the last run.
- LLM Agent:
- Applies a provided prompt to every new patent since the last run. Get creative! Note: Automatically fetches latest patents at your specified interval, no need to add a get latest patents node!
- Example Prompts: "Describe in 5 sentences what is novel about this patent." "Determine whether this patent describes the use of carbon nanotubes in any way or form, at the start of your answer output yes/no, then describe all application areas of the invention in bullet points, then describe in bullet points what the described benefits are of the invention."
- Important: Currently, the LLM Agent processes each patent individually. Instructions requiring analysis across multiple patents won't work yet (e.g., comparing patents or identifying trends). Support for this is planned in a future release.
- Summarize Patents:
- Generates summaries for each new patent since the last run. Note: Automatically fetches latest patents at your specified interval, no need to add a get latest patents node!
Notification Nodes format the output from Action Nodes and send notifications to e-mail addresses of specified recipients.
- Add a Notification Node
- After adding Action Nodes, click "Add Notification Node".
- Configure the Notification
- Send Email:
- Formats the output and sends an email to the listed addresses.
- Recipient Emails: Enter one or more email addresses. For multiple recipients, provide a comma-separated list.
Testing your workflow ensures it functions as expected before it's scheduled to run.
- Test the Workflow
- Click the "Test Workflow" button.
- The test will run on a maximum of 5 results for quick verification.
- Important Note:
- If you have configured a Notification Node, the test will send an actual email.
- During testing, consider using your own email address to avoid unnecessary notifications to others.
- Save Your Workflow
- After configuring and testing, click "Save".
- Workflow Activation
- Your workflow is now scheduled and will run according to the configured Trigger Node.
- Multiple Workflows: You can set up one or more workflows for the same dataset.
- Naming: Use clear and descriptive names for your workflows to easily identify them.
- Descriptions: Add detailed descriptions to provide context and aid in workflow management.
- Test Regularly:
- Always test new workflows to ensure they work as intended.
- Use the "Test Workflow" feature to validate functionality.
- Clear Naming:
- Use descriptive names for workflows, e.g., "Monthly Patent Summary".
- This helps in quickly identifying and managing multiple workflows.
- Simplify Your Workflows:
- Keep workflows as simple as possible.
- It's better to create multiple simple workflows than a complex one.
- Email Notifications:
- Double-check recipient email addresses to prevent unintended emails.
- During testing, use your own email to avoid spamming colleagues.
- Workflow:
- Trigger: Monthly
- Action Node: LLM Agent with prompt "Summarize the patent and briefly list what is novel about it."
- Workflow:
- Trigger: Weekly
- Action Node: Get Latest Patents
- Future Updates:
- Currently, the LLM Agent processes patents individually.
- Support for processing multiple patents collectively and writing reports based on findings is planned in a future release.
